Separate work and administration

Someone preparing a post does not necessarily need to change access or delete an account. List tasks and assign necessary permissions. In a small group, roles may overlap; make that overlap explicit so decisions and responsibilities remain understandable.

Check features actually available

YouTube documents channel permissions with distinct roles. This does not mean every network offers the same roles or covers every action. Consult the service’s help and test permissions using non-sensitive content. Do not replace that check with general password sharing.

Define approval and urgent situations

Specify content that can be published directly, content requiring review and topics to pause pending a decision. Prepare a contact for mistakes, suspicious messages or disputes. Approval should protect meaning without creating a chain so long that nobody knows who responds.

Review access when circumstances change

Keep a record of people and roles without copying codes or secrets. When someone leaves, check role removal, scheduled posts and displayed contacts. Keep a continuity procedure compatible with the service’s options. Test it before an incident makes access urgent.

Choose the right check for the situation

These editorial pointers help prepare and review your work. Choose the situation matching your content; check current features and conditions in the cited sources before applying it to a service.

Situations, useful actions and mistakes to avoid
SituationUseful actionMistake to avoid
New team memberDefine the work, then the minimum suitable role; test required access.Granting full control to avoid considering permissions.
Temporary contractorSpecify scope, duration and who will remove access.Leaving a temporary account active after the assignment ends.
Sensitive publicationDefine prepublication approval and a correction procedure.Assuming every member interprets instructions identically.
Access reviewCompare active people, requirements and account recovery methods.Retaining access whose owner nobody knows.

Hypothetical example: apply the method

Two people prepare an association’s announcements. One drafts, another reviews, and account administration is documented separately. A test confirms the writer lacks actions unnecessary for their work.

Frequently asked questions

Can everyone share one login?

Check delegated access offered by the service first. Shared access makes departures and accountability harder.

Should codes be copied into the register?

No. This document describes roles and procedure without containing secret authentication material.
